Terms and Conditions ('Terms')
These Terms and Conditions (“Terms”) apply to all bookings with Flexi Tour Centre (“FTC”, “we”, “us”, “our”).
By making a booking, paying a deposit or full payment, you acknowledge that you have read, understood, and agreed to these Terms.
References to “you” and “your” mean the traveller or customer making the booking (including all persons on the same booking). The person making the booking confirms they have authority to act on behalf of all travellers and bind them to these Terms.
Please read these Terms carefully, as they contain important information about your legal rights, remedies, and obligations.

2. Passports, Visas & Travel Documents

All travellers must hold a valid passport (with at least 6 months validity from return date) and any required visas or permits.

Travel documents (tickets, vouchers) may be non-refundable or non-changeable. Names must match passport details exactly.

Any fines, costs, or delays arising from incorrect or invalid documents are your sole responsibility.

FTC may provide general visa/passport information or assist via third-party services (fees may apply). FTC is not responsible for accuracy of information provided by external providers.
3. Flights

All flight tickets are booked in Economy Class with standard baggage allowance.

Airlines may change schedules, prices, or routes without prior notice. FTC will assist with rescheduling but is not liable for losses due to airline decisions.

Once issued, airfares are generally non-changeable and non-refundable.
4. Accommodation

Accommodation will be provided per your booking. If unavailable, FTC will arrange an alternative of equivalent standard.

Some hotels may require a refundable deposit or retain travel documents during registration.
5. Itinerary & Services

Itineraries may change due to weather, operational reasons, or unforeseen circumstances.

If an attraction is closed, FTC will arrange a similar alternative.

Parts of your tour are provided by third-party operators (airlines, hotels, local providers). FTC is not liable for their acts or omissions.
6. Meals & Dietary Requirements

Special requests (allergies, dietary needs) must be advised at least 60 days prior. FTC will make reasonable efforts but cannot guarantee availability everywhere.

For all-inclusive packages, group managers may escort guests to local restaurants. FTC is not liable for food-related issues.
7. Health, Fitness & Vaccinations

You must be physically fit to participate in tour activities. Any medical conditions must be disclosed at booking.

You are responsible for obtaining required vaccinations and health certificates. FTC is not liable for denial of entry due to missing documents.

Travelling with medical devices or special needs depends on service provider policies, outside FTC’s control.
8. Travel Insurance

Comprehensive travel insurance covering cancellation, medical, repatriation, baggage, and personal liability is strongly recommended.

Credit card or reciprocal insurance may be limited; travellers should check coverage carefully.
9. COVID-19 & Travel Advice

Travellers must keep updated with DFAT (www.smartraveller.gov.au) and airline/government regulations, including testing, masks, or quarantine requirements.

By booking, you acknowledge the risks of travelling during COVID-19 and assume full responsibility for such risks.
10. Minors
-
Travellers under 18 must be accompanied by a parent/legal guardian, who remains fully responsible for their safety and conduct.
11. Tipping
-
Tipping is not compulsory but recommended at AUD 5 per person per day.

Tips should be given directly to the guide or driver.
12. Transfers & Surcharges
-
Standard transfers operate between 06:00 and 22:00. Outside these hours, surcharges may apply.
13. Personal Belongings & Liability
-
Valuables should be stored in hotel safes.
-
Belongings must not be left unattended on vehicles.
-
FTC is not responsible for loss, theft, or damage of personal items.
14. Prices & Financial Arrangements
-
Prices are subject to change until fully paid (e.g., currency fluctuations, fuel surcharges, taxes).
-
FTC may receive commissions or incentives from travel service providers; this does not affect the price you pay.
15. Payments
-
Accepted methods: Bank transfer, Credit Card (Visa/MasterCard/Amex, 3.5% surcharge), BPAY (3 business days to clear).
-
50% deposit is required at booking; balance is due 60 days before departure.
-
Bookings within 60 days require full payment.
-
Additional deposits may be required for peak seasons.
16. Changes & Cancellations by Traveller
-
Flights & E-Visa: Non-changeable, non-refundable.
-
Tours:
-
More than 60 days before departure: Loss of deposit (50%).
-
60 days or less / No-show: 100% of total booking.
-
-
Non-refundable/instant purchase services: No refund or credit.
-
Travel service providers may apply additional fees.
17. Changes & Cancellations by FTC or Providers
-
FTC may cancel due to terrorism, natural disasters, political instability, pandemics, or other force majeure events.
-
Options: transfer to another date or receive refund (less unrecoverable costs).
-
Providers may cancel or modify bookings; alternatives or credits will be offered per their policies. Refunds depend on recoverable amounts.

FTC is not liable for incidental costs (visas, insurance, non-refundable flights).
18. Complaints & Emergency Assistance

Complaints must be raised immediately during travel to allow resolution.
-
Post-travel complaints without prior notice may not be accepted.
-
FTC may use external emergency assistance services; additional fees may apply.
19. Privacy & Data Protection
-
FTC collects necessary personal data (names, contact, passport details) for bookings.
-
Information is shared only with relevant service providers.
-
By booking, you consent to such disclosure, including overseas transfers.
20. Force Majeure & Liability Disclaimer
-
FTC is not liable for delays, losses, or changes due to force majeure events beyond our control (strikes, pandemics, disasters, airline changes).
-
Liability is limited to the extent permitted by Australian Consumer Law and relevant international conventions (Montreal, Athens, Paris).
21. Booking Agent & Supplier Terms

Flexi Tour Centre acts as your booking agent. We provide Booking Services and curate the Travel Offers. Payment for Booking Services is included in your booking price.

FTC does not provide Travel Services (flights, accommodation, tours); these are provided by third-party Travel Suppliers.

Each Travel Supplier has their own rules. FTC will provide these details so you know what to expect.

By booking, you agree to be bound by Supplier Terms and any specific terms related to your Travel Offer.
22. Acknowledgement

By making a booking, you confirm you are 18 years or older, have read, understood, and agreed to these Terms.
Important Information about your booking
By placing a booking with us, you acknowledge the following important information:

we act as your booking agent; The Flexi Tour Centre is a Booking Services provider, and curates the Travel Offers available on our website. We act as your booking agent, and we receive payment for the Booking Services as part of the booking price, however, we do not provide any of the Travel Services (flights, accommodation, tours or other products or services) included in your booking – the Travel Services are provided by a number of third party Travel Suppliers.

each booking is unique; our itinerary are made up of a variety of different components and are, during the booking process, uniquely tailored to suit your requirements, for example, departure dates and ports, flight and room upgrades, tour inclusions, etc.

changes/modifications to your booking may not be possible; once your booking has been made, changes or modifications may not be possible, and where possible, may incur a fee. It is important to ensure that you have all of the required information available at the time of booking (or shortly thereafter), the information you provide during the booking process is accurate and up to date, and that you read the itinerary carefully before placing your order.

We provides you with booking and advisory services in respect of travel, accommodation and other leisure activities (Booking Services).

We are acting as your booking agent (and not the agent of any Travel Suppliers) in providing its Booking Services to purchase Travel Services from Travel Suppliers. We are not itself a Travel Supplier. We book the Travel Services on your behalf with Travel Suppliers. The applicable Supplier Terms apply to you, and you should obtainand read the applicable Supplier Terms.

You and each traveller acknowledge that we have no direct control over any of the Travel Services provided in connection with your bookin Acknowledgment of terms

By making a booking with us, you are acquiring Booking Services from us. The Travel Suppliers (and not Flexi Tour Centre) will provide you with the Travel Services. Details of each Travel Supplier and its Supplier Terms may be:

provided with your booking information,
-
included in subsequent communication from us,
-
made available from the Travel Supplier, or
-
made available from us upon your reasonable request.

The Supplier Terms may include rules and restrictions about the use and availability of products and services, refund and cancellation policies and the limitation or exclusion of liability for death, personal injury, delay and loss or damage to baggage. It is your responsibility to obtain and read all of the Supplier Terms. Except as otherwise stated, the Travel Offer details and these Terms shall prevail to the extent of any inconsistency with the Supplier Terms.

By proceeding with your booking, you acknowledge and confirm that:

you have read, understood and agree to be bound by these Terms, the Supplier Terms (as applicable) and any other specific terms and conditions that apply to the products and services that you purchase, including those set out in the details for your Travel Offer;

you are aware of and will comply with any and all health, medical, Visa and passport requirements of the country or countries you intend to visit, as well as the responsibility to obtain all required documentation or vaccinations prior to travel;

you are 18 years of age or over, and have the legal right, authority and capacity to place an order and act on behalf of yourself and each of the travellers for whom you are placing the order and all persons intending to travel on the order;

you and each of the travellers consent to the collection, holding, processing, use and disclosure of personal information in accordance with our Privacy Policy.

In administering these Terms, We will only deal with the named person who placed the order in respect of a Travel Offer or any resulting travel (Account Holder). Personal information contained in our records will not be disclosed to any external organisations except in accordance with our Privacy Policy, including where required for authorised purposes or with the consent of the Account Holder.

These Terms apply to any bookings you make with us (over the phone, over our website or by email). These Terms also apply to communications and/or orders made directly with our consultants, whether over the phone, by email, via social media/online chat, in-store, and to orders placed online via our website.

We strongly recommend you take out appropriate travel insurance to cover your travel arrangements. Your insurance protection should include cover for cancellation, medical and repatriation expenses, personal injury and accident, death and loss of personal baggage and money and personal liability insurance. Insurance cover offered by credit card companies or reciprocal medical cover agreements may not be comprehensive. Travel insurance is strongly recommended by the Department of Foreign Affairs and Trade for all overseas travel.
